1. Who this policy covers

This policy explains the processing associated with the Travel House Botswana trip-planning website and enquiries you choose to send us. Travel House determines the purpose of handling its travel enquiries and related customer communications. The legal contracting entity will be identified in your quotation and booking documents.

Our business contact address is Block 3, Gaborone, Botswana. For privacy requests, contact info@travelhousebw.co with the subject “Privacy request”, or call +267 75595555. This policy does not appoint a data protection officer or imply that a formal officer has been designated.

2. Information handled by the website

The planner handles your selected destinations, departure city, dates, traveller counts, budget, currency, accommodation and transfer preferences, tour requests and shortlist. If you type an enquiry, it also handles the name, optional contact details, marketing choices and notes you enter. Children’s ages can be entered for quotation purposes.

The current application prepares that enquiry within your browser. It has no Travel House enquiry database and does not submit the form to a Travel House server. Names, contact details, free-text enquiry notes and children’s ages are not written by our application to browser storage. When you choose to open WhatsApp, the prepared text is passed to WhatsApp through a link. WhatsApp may receive it even if you do not subsequently send the message to Travel House. Travel House receives your enquiry when you send it or contact us separately.

Hosting and delivery providers receive technical information needed to serve the site, such as IP address, request time, requested page and browser or security information. Technical logs and platform security or traffic measurements may therefore exist even though the application contains no advertising pixels or visitor-analytics scripts.

Destination video clips are hosted with this website and play in your browser’s built-in player. No YouTube player, third-party video account or sign-in is required. The video file is requested from our hosting service when you open the player; normal hosting network logs may record the request. No separate video preference is stored. External source and licence links are optional and open their publishers’ websites only if selected.

3. Browser preferences and currency services

Optional browser storage is off until you allow it through Cookie settings. If enabled, the application may remember your planner preferences, shortlist and currency for up to 180 days from their last save, and cache exchange-rate data for up to 24 hours. The strictly necessary preference record remembers your cookie choice for up to 180 days. Read our Cookie Policy for the storage list and controls.

The site may use country information returned by the hosting network and your browser timezone to suggest a display currency. It does not request GPS permission or precise device location. You can choose another currency at any time.

Exchange Rate API supplies indicative currency data. Requests to its service disclose network information, including IP address, to that provider. Our application does not send your name, contact details, enquiry text, dates or budget to the exchange-rate service. Its own terms and privacy practices govern its service.

4. Why information is used

We use information to respond to requested quotations, assess trip requirements, communicate with you, arrange accepted travel services, maintain necessary booking and accounting records, resolve complaints, protect the service and meet legal obligations.

Depending on the processing and applicable law, the basis is taking requested steps towards a contract, performing a contract, meeting a legal obligation, your specific consent, or a legitimate operational interest balanced against your rights. Optional preference storage relies on your choice. Package offers and travel-news marketing rely on your separate opt-in for the selected channel. Sensitive information, if genuinely needed for a later booking, requires an appropriate additional legal basis and safeguards.

With your consent, Travel House may use your contact details to send holiday package offers, travel promotions and travel-related news through the channels you select, such as WhatsApp or email. Marketing is optional and does not affect your ability to request a quote or book travel. You can unsubscribe at any time by replying STOP to a promotional WhatsApp message or emailing info@travelhousebw.co. We will stop promotional messages through the channels you withdraw from; necessary communications about an enquiry or booking may continue. Simply using the planner or making an enquiry does not sign you up for marketing.

Your marketing choices are included in the enquiry text you review and send. Travel House receives them only when you send the message. We retain appropriate consent records and the minimum details needed to respect unsubscribe requests. The website does not automatically subscribe you to a mailing service or send promotional campaigns.

We do not sell personal information or use this application to make decisions with legal or similarly significant effects solely by automated means.

5. Sharing and international processing

If you proceed with an enquiry or booking, the information necessary for that request may be shared with relevant accommodation providers, airlines, ground handlers, transfer companies, tour operators, insurers where requested, and professional or regulatory advisers where justified. We should identify the relevant travel providers through the quotation or booking process. We may also disclose information where lawfully required or necessary to establish or defend legal claims.

This website uses managed hosting provided through OpenAI Sites and its infrastructure providers. WhatsApp is a separate Meta service; email, messaging, hosting and travel providers may process information outside Botswana, including in the destination country. A transfer is not justified merely by your acceptance of this policy. Where required, Travel House must use an appropriate lawful transfer mechanism and safeguards; ask us about the arrangements relevant to your booking.

External links open third-party services governed by their own privacy notices, including WhatsApp, Exchange Rate API and the hosting platform. Travel House cannot change those providers’ independent practices through its cookie controls.

6. Retention and security

Enquiry details remain in the active browser page until cleared, refreshed or closed, subject to the browser’s own behaviour. Details that you send through WhatsApp, email or another channel are handled separately from the browser planner. We retain business records only for as long as needed for the request, booking, legal or accounting duties, dispute resolution or other justified purposes. The appropriate period varies with the record and applicable requirement; ask us for the retention basis relevant to your information.

We use reasonable measures appropriate to the service, including encrypted web transport and restricted administration. No internet or messaging service is completely risk-free. Avoid including unnecessary sensitive information. Do not send card credentials, identity-document copies or detailed medical records through the general website enquiry field.

Declining optional storage does not remove information already sent to Travel House or an independent provider. A deletion request must be considered against any continuing legal retention duty.

7. Your rights and complaints

Subject to applicable law and any permitted exemptions, you may request access to your information, correction of inaccuracies, deletion, restriction of processing, portability where available, or object to relevant processing. Where consent is the basis, you may withdraw it for future processing without invalidating processing lawfully carried out before withdrawal. You may also ask about information sources, recipients and international safeguards.

Contact us using the details above. We may request proportionate identity verification and will handle the request within the period required by the law that applies. We will explain any lawful limitation or refusal. You may complain to Botswana’s competent data-protection authority or another supervisory authority with jurisdiction, without first having to exhaust a private dispute procedure.

8. Children and updates

Adults should make travel enquiries. A parent, guardian or authorised adult may provide a child’s age where necessary to request suitable arrangements. Do not provide a child’s name or other identifying information at the planning stage unless it is genuinely required. We do not knowingly use this application to solicit children’s personal information for marketing.

We will update this policy when the application or our processing materially changes. New analytics, marketing integrations, payment facilities or customer databases require a fresh assessment and an updated notice before use. The date on this page identifies the current version.
